Bank Reconciliation for GCC Businesses
A bank statement tells you what moved through an account, not necessarily what the transaction means for tax or profit. Customer receipts can include VAT, deposits or refunds; outgoing payments can settle several bills at once. Reconciliation identifies these differences and connects each movement to supporting records.
For GCC businesses, review card-settlement fees, foreign-currency receipts, VAT payments and payroll batches as separate categories. DocMakBooks provides invoice, expense and payroll records to compare with bank evidence. This workflow does not imply an automatic bank feed, statement import or direct WPS submission is available.

Match gross receipts, not just net revenue
A UAE customer settling a standard-rated AED 10,500 invoice pays AED 10,000 net plus AED 500 VAT. If a payment processor retains AED 200 and the bank receives AED 10,300, do not reduce the invoice to that deposit amount. Record settlement of AED 10,500 and account for the processor charge separately using its supporting statement or invoice.
Part-payments, retention and customer deductions need an allocation rather than a forced match. Keep the unpaid balance visible unless a genuine commercial adjustment justifies a credit note. A bank deduction does not itself reduce the supplier's VAT liability; review why it occurred and whether the invoiced consideration changed.
Bank fees are not all taxed the same way
Financial services can receive different VAT treatment depending on whether consideration is an explicit fee or a margin, and each jurisdiction sets its own rules. Do not assume every bank charge is exempt or apply the standard rate to interest automatically. Use the bank's documentation and evaluate whether any stated VAT is recoverable.
A foreign payment platform's fee may also require an imported-service reverse-charge assessment. Keep the supplier identity, establishment information and statement showing the charge. Currency conversion fees, exchange spreads and withholding deductions should be distinguished rather than posted as one undifferentiated expense.
Reconcile tax and payroll settlements
A payment to the FTA, ZATCA, OTA or NBR normally settles a tax liability; it is not a new supplier expense with input VAT. Match it to the filed period and official payment reference. Refund receipts likewise need a link to the tax balance, not a sales invoice. Separate penalties and interest from the underlying tax settlement.
For payroll, reconcile the approved employee-level run to the bank's salary batch and the WPS or equivalent acceptance evidence. A debit showing the batch left the account does not prove each worker received the correct salary. Investigate rejected employee payments, returned transfers and charges, and keep unpaid salary balances outstanding until resolved.
Resolve timing and foreign-exchange differences
Outstanding cheques, deposits in transit and transfers between your own accounts can explain differences between ledger and bank dates. Match both sides of an inter-account transfer so it is not counted as revenue and expense. Identify owner contributions and loan proceeds separately from taxable sales.
A foreign-currency invoice may settle at a different exchange rate from its original accounting value. Record the exchange difference separately and retain the tax-conversion basis used on the invoice. Changing the VAT amount just to make it equal the bank deposit confuses settlement accounting with the original tax calculation. Review unresolved differences monthly and require independent approval for write-offs.
Bank reconciliation workflow
- 1Obtain complete statements for every bank and payment processor.
- 2Match each receipt or payment to invoices, expenses, payroll or financing evidence.
- 3Record supported fees and exchange differences separately.
- 4Investigate partial settlements, rejected payroll transfers and unmatched items.
- 5Approve the reconciliation and retain the statement with the working papers.

Frequently asked questions
Is every bank deposit taxable turnover?
No. Deposits may be loans, transfers, capital, refunds or customer payments. The underlying supply and tax point determine VAT, not the bank entry alone.
Can I recover VAT on bank charges?
Only where VAT was properly charged and recovery conditions are met. Explicit fees and margin-based services can have different treatments.
Does a salary-batch debit prove WPS compliance?
No. Check payment acceptance and employee-level outcomes under the applicable wage-protection scheme.
